Privacy Policy

Effective October 14, 2026

CourtBoss is a tournament platform for junior tennis and pickleball. This Privacy Policy explains what information we collect about players and their guardians, how we use it, and the choices you have. By using CourtBoss, you agree to the practices described here.

Information We Collect

From a guardian, we collect a name, email address, and phone number, and the information needed to create a player profile: name, date of birth, gender, school or club, and an optional self-reported UTR. Gender is used only to place a player in the right division. We collect payment information through Stripe’s own secure checkout — CourtBoss never sees or stores a card number.

If you choose to, you can tell us your player’s coach, high school and ratings. Only CourtBoss staff see it. We use it to run tournaments and to invite coaches to follow their players. We never show it in draws or publicly, and you can remove it any time. We may contact your player’s coach to confirm.

Before the first tournament is open for registration, our home page offers a “join the list” email sign-up so we can let you know when registration opens. We store that email address and nothing else from the form; we do not share it, and it is not used for anything beyond that notification.

A player under 13 has no login, phone number, or email address of their own. Everything about an under-13 player is entered and managed by their guardian. Starting at 13, a player may claim their own profile and provide their own contact information; until then, or if they do not claim it, a guardian remains responsible for the account.

Signing In With Google or Apple

A guardian may sign in with a Google or Apple account instead of a password. When you do, we receive only your name and email address from that provider — never a date of birth, and never your device or physical location. A player’s age always comes from the date of birth a guardian enters, never from a sign-in provider.

No Location Collection

CourtBoss does not collect device or GPS location, and does not collect or store a home address for any guardian or player. Where we keep an IP address — recorded only against a texting consent submission — it is kept only as proof of that consent and is never used to locate anyone.

How We Use Your Information

We use your information to manage tournament entries, process payments and refunds, and send account-related email and text messages. Texts include tournament entry and schedule updates, account messages, and claim links for players 13 and older who opt in. We use your information to authenticate your account, provide support, and keep the platform secure.

How We Share Your Information

We share your information only with vendors needed to operate the platform — for example, Stripe for payments and our SMS provider for text delivery. These providers may only use your information to perform services on our behalf. We do not sell your personal information.

We count page visits and how features are used so we can improve the site. We don't sell this information or use it for advertising.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

Deletion

A guardian may ask us to delete their family’s data. When we do, we remove contact information, date of birth, and login access for the family. Past tournament results keep their scores, but show “Former player” in place of the player’s name. Payment and refund records are kept intact, as required for our own financial recordkeeping.

Your Choices / Opt-Out

You can stop receiving text messages at any time by replying STOP to any message from us. Reply HELP to any message for help. For full details about our messaging program, message frequency, and applicable rates, see our SMS Terms.
